Verifiable exchange-rate evidence for business records

Keep source attribution, selected date, document id, payload hash, and public verification together.

Evidence workflow

Reconcile invoice, payment, bank, and VAT rate differences

When an invoice, payment, bank statement, VAT file, or ledger entry shows a different exchange-rate value, first separate the source, selected date, rate direction, and precision. FXProof gives you a signed proof for the official reference input you selected; it does not turn that reference rate into the rate charged by a bank.

From the first question to reviewer follow-up

Put each number back in its source

Start with the actual records: invoice, payment, bank statement, VAT return, accounting entry, and any workpaper that copied the rate. Name the source behind each number before deciding which one belongs in the reconciliation.

Separate transaction rates from official reference rates

The bank or payment-provider record shows what was actually charged. An official reference rate supports a policy, tax, VAT, accounting, or review calculation when that workflow calls for a published official value.

FXProof documents the selected official reference input. It does not prove that a bank, card network, or accounting system used the same value.

Check direction, date, and precision before opening proof

A mismatch may come from reversed currency direction, rounded decimals, a payment date instead of an invoice date, or a source that publishes period rates rather than daily rates. Keep this reconciliation note with the file.

  • Source selected for the reference rate.
  • Date or period used in the calculation.
  • Currency-pair direction and precision.
  • Bank or payment record kept separately when actual charged rate matters.

Keep one proof for the selected reference input

Attach the Signed FXProof Proof PDF to the reconciliation workpaper that used the official reference rate. The proof keeps the source attribution, selected date, rate context, digital signature, document id, payload hash, and verification details together.

Show what the proof can and cannot answer

A reviewer can verify the FXProof document without access to your account. The reviewer still decides whether the selected source, date, rounding method, and reconciliation conclusion are appropriate for the procedure.

Software source gap

Use this when a ledger rate exists but the accounting system does not show enough source detail.

Questions

Why do my invoice, payment, bank, and VAT rates differ?

They may come from different sources, dates, currency directions, decimal precision, rounding rules, or transaction-rate versus reference-rate methods. Keep the reason for the selected method in the reconciliation file.

Does FXProof prove the rate charged by my bank?

No. Use the bank or payment-provider record for the actual charged rate. FXProof documents the selected official reference rate.

What should I attach to the reconciliation workpaper?

Attach the business records, the note explaining source/date/direction/precision, and the Signed FXProof Proof PDF for the selected official reference input.

Keep the proof with the file that used the rate

Inspect a static sample first, then use an account when you need a proof bundle for a concrete dataset and date.
